1. Who we are and what this policy covers
OPTIC is operated by P.M BUTLER & O.J COOKE trading as OPX Digital (ABN 41 406 928 414). Contact us at paris@opxdigital.com.au about this policy or your information.
This policy covers the website, early-access registrations and enquiries. OPTIC is in development. The product demonstrations use sample content: they do not accept inspection uploads, analyse your photos or videos, create workshop accounts or send customer repair updates. We will provide information about trial data handling before collecting real workshop or customer inspection records.
2. Information we collect
The early-access form collects your name, workshop name, email address and agreement to be contacted. The contact form also accepts an optional phone number, number of technicians and message. We keep the submission time, a submission identifier, a record of your consent and the status of your enquiry. If you email us, we receive your address and the contents of your message.
You can omit optional fields. Without the required contact details, we cannot register your interest. Please do not include customer records, vehicle registration numbers or sensitive personal information in these forms.
Our hosting and security providers may process technical information such as IP address, browser information, request times and error information to deliver and protect the website. Our form protection uses short-lived counters keyed to a protected hash of your network address and email, rather than storing those identifiers in the counters. Counter windows last up to one hour; expired counters are removed when the forms next receive a valid submission.
We have not added advertising pixels or visitor-analytics tools to this website. Our hosting providers may use necessary security or service cookies. Fonts and demonstration photos are served with the website.
3. How we use your information
We use enquiry information to respond, manage the early-access list, understand workshop interest and contact you about OPTIC development and closed-trial participation within the permission you give us. Optional information helps us respond to your request. Technical information is used to maintain the service and prevent misuse.
Joining the list is free and does not guarantee a trial place. You can withdraw permission for further early-access contact by emailing us. We do not sell your contact details or use the demonstration controls to collect customer inspection evidence.
4. Storage, service providers and overseas processing
The website is hosted through OpenAI Sites using Cloudflare. Submitted enquiries are saved in Cloudflare D1 storage and sent through Google Apps Script to a private Google Sheet. Google services also support our business email. These providers process information to host, secure, store and deliver our website and communications. We may also disclose information when required or permitted by law.
These providers operate internationally. Information may be processed outside Australia, including in the United States and other countries where the providers and their service providers operate. We have not configured an Australian-only storage arrangement. Their locations and practices can change; information is available in the OpenAI, Cloudflare and Google privacy information.
The lead spreadsheet is restricted to the business owner. The website does not expose a public lead list. Credentials used for the Google connection are held on the server, not in the browser code. We take reasonable steps to protect the information we control, but no online service can guarantee complete security.
5. How long we keep information
For a workshop that does not join a trial, we keep its enquiry for up to 12 months after our last contact, then delete our active copies. You can ask us to remove your enquiry sooner. This includes the lead spreadsheet, website enquiry records and relevant business email copies under our control, unless a legal obligation requires us to retain specific information.
Provider logs and backup copies may remain for their applicable retention periods and may not be removable immediately. If you join a trial, we will explain the applicable information handling and retention arrangements before you begin.
6. Access, correction, deletion and complaints
Email paris@opxdigital.com.au to request access, correction or deletion, leave the early-access list or raise a privacy concern. Tell us which enquiry or information you mean without sending unnecessary identity documents. We may need to verify your identity before responding.
We will acknowledge your request within 7 business days and aim to resolve it within 30 days. If it needs longer, we will explain why and provide an update. Where information must be retained or a request cannot be met, we will explain the reason. These service targets do not limit any rights or applicable legal obligations.
If a privacy complaint remains unresolved, you can contact the Office of the Australian Information Commissioner to ask about available complaint options.
7. Changes to this policy
We will update this page when our website or information handling changes and show the revised date above. We will explain material new uses before asking you to participate in them. The future workshop application will have privacy information appropriate to its actual features and providers.
